Free workflow assessment

How many hours could your team get back?

Choose one repetitive workflow. Adjust the numbers to match the work one person actually does. Then see what software could handle and what still needs a human.

01 / THE WORK

What does the person do now?

Choose one type of work

Example: A shared inbox receives 25 routine requests each week.

Which systems do you use?
03 / A PRACTICAL ROUTE

What changes for email and customer requests?

Today · manual

Open each message, read the request, copy details, decide who owns it, and send an acknowledgement.

With automation · Microsoft 365 / Azure

Classify the message, extract key details, create a tracked item, draft a reply, and route it to the right person.

STARTS INOutlook, Forms, SharePoint or Teams
HANDLED BYPower Automate with AI Builder or Azure AI where appropriate
ENDS INSharePoint, Lists, Teams, Dynamics or an approved business app
Human stays in control

A person checks uncertain classifications and approves sensitive replies before they go out.

WHAT TEKSTRO WOULD BUILD

Turn this estimate into a working process.

Connect the shared inbox to a tracked queue, set routing rules, extract key details, draft acknowledgements, and escalate uncertain requests for review. Tekstro would implement this in Microsoft 365 / Azure, using power automate with ai builder or azure ai where appropriate, with the right permissions, audit trail and exception handling.

ONGOING SERVICE

Maintain and improve the result.

With an ongoing Tekstro service agreement, we can monitor failed runs, review exceptions, maintain connectors and access, update workflows as your business changes, and compare actual time saved with the baseline. We can also manage the supporting cloud services, identity, endpoints, backups and cybersecurity controls.

Check the estimate against your real process.

Tekstro can measure a sample, test a pilot, implement the workflow, then maintain and optimize it alongside your IT and security stack. Scope and ongoing services are agreed for each client.

How the estimate works

The model compares the minutes a person spends on each task today with the average minutes of human work left after automation. It multiplies that difference by the tasks handled each week. The same person can use the freed time for other work; a percentage of a 40-hour week is a workload comparison, not a staffing recommendation.

COMMON QUESTIONS

What can this kind of automation actually do?

Can Microsoft 365 handle a shared inbox workflow?

A Power Automate flow can pick up an Outlook message, capture details, create a SharePoint or Lists item, and notify a person in Teams. An AI extraction step may help with less structured messages. Staff still review uncertain requests and approve sensitive replies.

Can Google Workspace process forms and documents?

Forms, Gmail, Drive and Sheets can provide the starting information. Apps Script, AppSheet or a suitable Google Cloud service can route it, extract fields when appropriate, and create a record for human validation. The exact tools depend on document quality and access permissions.

How do you decide whether the saving is real?

Measure a sample of current tasks, include the time spent on checks and exceptions, and compare it with a small pilot. The calculator gives a starting estimate; a workflow review tests whether the approach is practical in your systems.
